HR Assistant [Philippines]


 

Job Summary:

The HR Assistant (HRA) provides administrative support to the HR department and assists with various HR initiatives. This role involves maintaining employee records, assisting in recruitment activities, developing HR programs, and providing administrative support for HR operations. The HRA is crucial in facilitating HR processes and ensuring effective communication between the company and its employees.

Responsibilities:

1. Recruitment: The HRA is involved in recruitment and selection activities, job posting, candidate screening, and interviews. The HRA also prepares employment contracts, offer letters, and other recruitment-related documents. The HRA likewise communicates with candidates who are not selected and provides honest feedback for their personal development.

2. Onboarding: The HRA coordinates the onboarding activities of new employees, including preparing orientation materials, scheduling training sessions, and facilitating the completion of required paperwork.

3. Employee Records Management: The HRA maintains accurate and up-to-date employee records, including personal information, employment contracts, and documentation related to leaves, benefits, and training. The HRA ensures confidentiality and compliance with data protection regulations when handling employee information. When needed, the HRA also prepares HR reports and dashboards.

4. Employee Relations: The HRA is the main point of contact for employees' HR-related inquiries, providing timely and accurate information or directing them to the appropriate offices. The HRA assists in resolving employee concerns and escalates issues to the proper authorities as needed. The HRA must maintain open lines of communication and positive relationships with employees.

5. HR Programs and Initiatives: The HRA leads and facilitates HR programs such as performance management, employee engagement surveys, and recognition programs. The HRA also assists in organizing employee events, training sessions, and other HR-related activities. Finally, the HRA contributes to the implementation and communication of HR policies and procedures.

6. HR Administration: The HRA assists with HR administrative tasks, including maintaining HR files, preparing HR-related correspondence, and managing HR-related documents such as employee 201 files. The HRA also supports benefits administration, enrollment, claims inquiries, and providing general benefits information. The HRA assists with payroll processing, including data entry, timesheet verification, and resolving payroll discrepancies.

7. Offboarding: The HRA assists with exit processes, including conducting exit interviews, updating employee records, and coordinating the return of company assets.

Qualifications and Skills:

1. Bachelor's degree in Human Resources, Psychology, Behavioral Sciences, or related fields.

2. 2 years prior experience in an administrative or HR support role is preferred.

3. Basic understanding of HR principles, practices, and Philippine Labor laws.

4. Proactive with a positive work attitude & values, able to adapt to organizational changes, and has a strong desire to excel in the field.

5. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

6. Strong attention to detail and accuracy.

7. Excellent communication skills, both written and verbal.

8. Proficiency in using HRIS and other HR-related software applications.

9. Ability to maintain confidentiality and handle sensitive information.

10. Strong interpersonal skills and the ability to work effectively in a team.

11. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Job Type: Full-time

Salary: Php20,000.00 - Php25,000.00 per month
