Greenwich Medical Spa (GMS) is an industry leading, award winning medical spa providing non-invasive cosmetic treatments. GMS was established in 2005 with the unwavering mission to inspire confidence and empower our patients, employees and communities.
We are looking to hire a high-energy Part Time Call Center Coordinator to schedule initial consultations, procedures, confirm appointments, triage patient phone calls, and respond to all written patient inquiries. The ideal GMS Call Center Coordinator is well spoken, highly driven by providing a 5 star, white glove experience to our patients and will be knowledgeable in our treatments and services (we'll teach you this part!).
Summary of Duties and Responsibilities:
- Receive high volume incoming calls for multiple locations and route as necessary.
- Set appointments for new and existing patients.
- Educate patients on our treatments with knowledge and excitement.
- Confirm all scheduled appointments for upcoming day.
- Meet goals and performance expectations outlined by management.
- Responsible for accurate client data entry as it relates to data base management.
- Makes follow-up calls to all patients who received treatments the previous day.
- Send pre/post care to all scheduled patients.
- Send links to Patient Portal for scheduled patients, follow up to make sure they have completed.
- Have a strong understanding of HIPAA compliance.
- Respond to patient email inquiries, text messages and 3rd party chat requests.
- Monitor 3rd party lead generating initiatives and CRM software to ensure contact is made with every lead generated, converting them to in house consultations.

Qualifications:
- Superior interpersonal and communication skills, oral and written.
- Ability to exert subtle motivation and influence.
- Computer literate.
- Superior organizational skills.
- Trustworthy.
- Attentive to detail and accuracy.
- Must be able to work as part of a team.
- Must be able to train onsite at spa for 3 months
Minimum Requirements:
- High School Diploma, some college preferred
- Knowledge of Microsoft Office Suite
- Minimum of 1 year of administrative experience in a medical office
